Residents Associations. Amber Management looks after
the common affairs for and on behalf of these Management
Companies and Residents Associations by the appointment
of the Directors. Amber Management ensure legal

Contractor Services
Most residents only see the
physical side of maintenance (cleaning, gardening and
window cleaning) being undertaken on their development
and often forget about the other mandatory services such
as insurance, supply of electricity to common parts,
Health and Safety issues etc. Residents require these
services to be carried out to high standards on a
regular basis with the minimum of fuss and expense,
Amber Management’s Property Managers make sure that this
is achieved by visiting each of our developments periodically to monitor the standard of work carried
out by all contractors. We also provide the following
services:-

Appointment of
contractors.

Provision of
specifications of works, tailored to specific
requirements

Obtain quotations for
repairs.

Organise repairs.
-
Oversee items of major
repair and redecoration.
Modern developments often
have a range of Mechanical and Electrical equipment
installed, such as Lifts, Vehicle Gates, Fire Alarms,
Door Entry Phone Systems and Water Pumps. All such items
of equipment usually require service contracts, Amber
Management can advise on all aspects of maintenance
contracts and assist Directors in choosing the correct
contractors for the installed equipment.

Development
Inspections
Amber Management carrying
out the following services on each of our developments:

Periodic development
inspections
-
Development meetings
with Directors and residents if requested.
A report will be sent
through to the Management Company or Resident
Association Directors to inform on matters of concern
each month following our site visit. If items of repair
are required, the report will also include quotations
for acceptance by the Directors.

Financial Management
Amber Management undertake
to carry out the following financial support on behalf
of the Residents Management Company:-
-
Prepare the service
charge budgets, and provide Directors with detailed
financial information for their agreement prior to
the issue of service charge budgets and application
for payment to fellow residents.

Administer the receipts
of Service Charge and maintain the service charge
debtors ledgers.
-
Answer residents queries
in an educated manner.
-
Manage individual
Management Company or Residents Associations bank
accounts.
-
To issue a record of
payment transactions and reports to Directors periodically as maybe agreed.
-
To pursue unpaid service
charges. Debt collection action is taken where
necessary, with the option of consultation with
Directors beforehand, updates are then given to
Directors regarding progression.

Appoint and assist
Auditors, to prepare the Annual Accounts for
Companies House and the Income and Expenditure
schedule to comply with the Landlord and Tenant Act.

Correspond with
solicitors in relation to pre contract enquiries.

Provide solicitors with
relevant information, including service charge
payments, Audited Accounts and copies of block
buildings insurance schedules.

Administer stock
transfer forms on Management Companies Limited by
shares.

application to Management Companies..

Correspond with Resident
Directors and residents, providing clarification to
their queries.

Correspond with the
Developer if required.

Meetings
Amber Management understand
that it is imperative to meet with Resident Directors on
a regular basis to keep them up to speed with how the
management of their development is progressing and to
discuss any issues they may have. Such meetings are
normally held every three months but can be more
frequent if required. To comply with statutory
requirements an AGM must be held annually which is when
Directors and Auditors are appointed to the Residents
Management Company.

Insurance
Insurance is a very
specialised field. Amber Management use accredited
insurance brokers who offer a wide range of insurance
products, tailored to the requirements of each
Management Company. Amber Managements brokers can offer
the following insurances:-

In addition to this Amber

Breaches
Breaches of lease terms can
be a tedious task to resolve, however all leases contain
restrictive covenants which assist a Management Company
or Residents Association in controlling what can and
cannot be done on a development. Amber Management will
look into resolving these for residents.
Amber Management will assist
Directors and residents on lease interpretation and
assist in ensuring that leaseholders abide by the terms
of their lease.

Liaise with Directors
where breaches of lease have taken place

Advise residents of
breaches.

Assist with enforcement
of the lease terms.
-
Instruct solicitors to
resolve disputes were appropriate.
Every Management Company or
Residents Association must have at least two Directors
and one Company Secretary. Although residents are
normally willing to stand as a Director and / or Company
Secretary of their Management Company, some choose to
have corporate bodies in these positions.

Company Secretarial
Amber Estate Management can
be appointed to act as Company Secretary / Director and
fulfil the following roles:

Issue formal notices and
agendas for board meetings in accordance with the
Directors instructions

Call Annual General
Meetings and distribute formal notices

Maintain minute books
-
Hold the Company Seal
and maintain the Seal register
-
Prepare and issue Share
Certificates when a lease is assigned (if
applicable)
Maintain the statutory books such as, Share & Members
Registers, Register of Allotments, Register of Directors
and Secretary, Register of Transfers, General Meeting
Minutes and filing of the Annual Return
